Members in attendance:
- Justin Chen
- Amogh Sarda
- Ansh Dhaliwal
- Alex Peng
- Edward Chang
- Two Monte students (names?)
• Major problem we have is getting the students on the day. You have to pay and cannot do it for free. We both need the volunteers and the money needed as well.
• We were going to run a double conference with students and teachers with students at a budget price.
• Flyer has been done and sent to final production.
• We want to get 150 students and do not want to go under. We cannot change the prices now, they have been set.
• AYCC as an advertisement may be a possibility however if they use this as a recruitment opportunity where we will not do it. There may be a compromise with a stall being set up on the days and wanting a sign up list. Student body is going ahead with the AYCC. Sorry Mrs. Hofler!!!
• AYCAN may also be a possibility. Yes Yes Yes we are going with them.
• We may have to use technology to advertise to students. Use Facebook?
• We also have to email to teachers and stuff like that.
• SENS may also be a way/method of contacting
• Mrs. McCrossin has a large contact list so maybe she could contact others as well but we need to target students particularly here.
• There is also a possibility that we could travel to the schools and talk to them as ambassadors. Also by adding to the flyer by saying that places are limited and please only send the most important members, you could make it more upmarket,
• Community noticeboards are also a way of communicating
• EEC’s_Macq University
• We cannot get to the private schools so we need the monte representatives to contact other schools.
• Aboriginal elders have been contacted to by Monte representatives. Smoking ceremony for Aborigines but will we have to pay?
• Hopefully the Monte representatives can get the barbeque planned. Monte may have hospitality possibly 15 people. Possible to advertise the hospitality as community service.
• We may need some other alternatives to Indian food because people may not like it. Pasta may be an alternative
• Time capsule. Ideas of what you are putting in there vary.
• Talk to Stephen cheung because he needs help with the time capsule.

Field of Mars cost tbc, no outline
Quotes for buses have been determined - see budget for more information. Estimates from $400-$500 per return trip.

Deadline pushed back to next Friday (6th May)
EOI Flyers must be sent out early week starting 9th May
NSB have designed a back up flyer (which is attached) in case
4. Keynote speakers
Prof. Richard Buckland (computing professor at UNSW)
http://www.cse.unsw.edu.au/db/staff/staff_details.php?ID=richardb
To talk about risk modelling/management/evaluation, perhaps comp tech in climate change/environmental issues?
Happy to speak, pending confirmation whether he is available on the day
Prof. David Booth (Marine ecology professor at UTS, chair of SIMS)
http://datasearch2.uts.edu.au/science/staff/details.cfm?StaffId=546
Happy to speak, pending confirmation whether he is available on the day (may have a research holiday planned?)
Need to contact Prof. Paul Brown (history/philosophy professor at UNSW)
http://www.arts.unsw.edu.au/faculty/staff-directory/paul-brown-151.html
Has talked at NSBH before about philosophical aspects of climate change/environmental issues - social/ethical issues etc
Sue Lennox from OzGreen? (Ahri/Judy to contact please?)
Ahri is looking for "names" people/keynotes
Has suggested finding speakers that cover following aspects of environmental issues
Changing consciousness
Building alternatives
Political change
Have reduced estimated keynote speeches time to 20 minutes (no q and a)
Q and A session towards end of the day/another applicable time. All speakers can be put on a panel and audience to ask questions
Current plan is to have 3 keynote speeches. If we get more speakers than slots available, perhaps we can ask them to run workshops?
Student address? Check with Judy re: Youthlead congress? Otherwise, a NSB student or other school student could prepare.
5. Guests
Mayor of NS Council to make a short address on Day 1 (Monday 26.09) but only after 11am
6. Footprint
Justin + McCrossin have suggested devoting footprint money to saving NSW/Australian rainforests
Otherwise, can reduce both social and ecological footprints by putting footprint money into East Timor (check with Judy)
Some sort of "carbon-tax?" or price on pollution for conference participants?
Need to focus on reducing emissions!
Surveying conference participant travel information/food/waste levels etc
7. Funding East Timor students?
Each student = ~$1000
Est. 2-4 students
Will give a global perspective
Living in East Timor vs. Living in Australia - how does this relate to environmental issues?
Bringing students to Sydney may coincide with other activities apart from the EEC (e.g. students to visit local schools, such as Mosman High) - perhaps they can help fundraise?
We could billet to reduce these costs?
Check with East Timor community groups in Australia/East Timor embassy for sponsorship?
East Timor students to make a presentation about environmental issues in their area in their native tongue (Judy/other to translate?) and/or a presentation on environmental issues/projects in East Timor
8. Workshops for Teachers/Community strand(s)
Mostly peer to peer learning
However, we want to mix strands
e.g. Northern Sydney students to talk about SENS (Sustainability Educators North Sydney) at the Teacher/Community strand workshops
http://www.northsydney.nsw.gov.au/www/html/5850-sustainability-educators-network.asp
Importance of local networks and connections with council/other schools/local groups
Students to talk about advantages/disadvantages, why it works/doesn't work
Participants can then take this back to their local councils/communities and consider implementation
Perhaps use EEC Wiki as a networking tool for local council/sustainability education networks in the future?
9. Current estimates on conference participants cost (per day, exc. dinner)
Students $15
Teachers/AAEENSW members $60 (assuming professional accreditation)
$80/90 (assuming no prof. accreditation)
Community stream $100-$150?
Conference Dinner Alcohol $65pp
Non-alcohol $60pp
This is assuming NO sponsorship is acquired.
10. Sponsorship
Sue to send out letters soon
AAEE Australia is a charitable organisation - perhaps we can work out tax deductible donations?
If tax deductible is OK - need to put on EOI or sponsorship letters?
11. Other
McCrossin to contact Tipping Point dancer for Creative Space
Need to focus on ways to have a mix between students, teachers and community streams
OzGreen http://www.ozgreen.org/ to run a workshop? Perhaps a keynote speaker - Judy contact

Email sent to all of them with keynotes on both the Monday and the Tuesday. We may also a have a panel or debate to fit them all in. 4 keynote speaking slots.
- Deliberative Democracy project? With five views on the issues and once they finish this they have a practical view at the end. Everyone must be respectful with listening to the ideas like a social jury. Dotmocracy activity.
- Showbags: program, promotional material from sponsors (ironic?)
- LGA sustainable conference regulations. A competition for oldest show bags from other conferences and laying out at the meeting.
- Maybe a takehome item that they can remember. Keepcups for $5?
- A sponsors wall with A3 pages and print out the sponsors on them. Possibly get it from the sponsors instead of having lots of copies for everyone. Maybe a designation of how much they give. Will also affect the flyers.
- For the page we could also add a hyperlink to the website to the sponsors.
- EEC wiki and a squared and e squared website. Innovating sponsorship ideas like speed and the speed logo on the paper they provide. If they give us proffesional items like USBs or pens accept them?
- Ring the Rotary club Alex Peng/Amogh and ask if they want to sponsor.
- 2 paper mache globes with newspaper and beach balls to make it. Flower.

- Expressions of Interest (i.e. a flyer that advertises the EEC) needs to be completed with a 2 week deadline (i.e. by Thursday 17th March 2011) - This will allow people to subscribe to a mailing list for more updates on the EEC (i.e. later registration forms etc) It will also be aimed at securing papers/presentations during the conference. Flyers must be sent out to schools (contact - DET Mark Caddey) by the end of Term 1 to advise teachers and students, and contact lists for other organisations (e.g. government, ngo, local etc) need to be advised.
- In addition to this, they will be required to join up to an EEC wiki at some stage (needs to be created fast!). Perhaps the compulsory EEC wiki membership should be enforced during the later registration process (around May/June). The Wiki will provide the most updated information about the EEC, guest speakers, programs, activities etc - as well as facilitate discussion of issues prior, during and hopefully after the conference. Notes/ppt slides etc from workshops/keynote presentations, contact lists etc will be posted on wiki.
- Streams (TBC by committee)
- We have proposed "informal" names for the streams. This is to reduce the chance of political incorrectness :)
- The "Student" stream may be the Marine Animals Stream (or of the Avian variety)
- The "Teachers" stream may be the Terrestrial Animals Stream
- The "Government/Agency" stream may be the Minerals Stream
- The "Community" streams may be the Plants Stream
- … or something to a similar effect. Sub-groups will be types of marine animals/terrestrial animals/minerals/plants etc.
- In the Expressions of Interest send outs, the "streams" - whatever we decide it to be, will have to be announced. more specifically, the idea is that each of the streams has a particular focus, e.g. the marine stream (haha) will be focused on students, whereas the Terrestrial stream will focus on professional development

9/2/11
Sustainability, Let’s just Do It
Henrietta, Adrian, Andrew, McCrossin, Ovens, Sue, Hofler, Amogh
I actually probably don’t want to share but I want to share just to introduce…from the other meetings. Various other conferences have been held, this is the first biannual conference of 2011. Sue has been a major member of the biannual conferences and emphasizes a need to ‘step-up’ the conferences and get things moving. Wants update on December meetings, there is also a conference program and budget from previous meetings/conferences. Discuss budget issues, how much should be charged, excursions, and various Council issues; also, TAFE may get involved.
A person with computer and design skills is needed to help with various aesthetics needs.
Conference report should also be introduced. Also, conferences from now on should also start focusing on teachers as well, and students, to participate more in the conferences. Accommodation may be advised by the council, but members need to find their own accommodation for the night at North Sydney.
Also certain issues on student accommodation. There should not be many students, who have travelled a long distance from outer areas, and even then it may be with their parents, but if there are such students, health and safety may be a cause of concern.
Camping may be a good alternative, especially for mass accommodation for the students. It is also environmentally friendly. Youth Hostel as well, maybe?
For the two days there will be two physical streams of various people, teachers, students, local government, the business people, and various people of the community.
NSBHS Creative Space involves the main project, time capsules, and two earths with the outlines of the continents on it (various people can come in, dip their hands in paint and colour in the Earths). Various music and activities to get people involved. Various people can bring in an item from home representing what they feel about the world and climate change etc. Possible short films and music etc. Every school representative can bring in something from their school organization that can also be meaningful to their group/ message. This will represent the progress of each conference, for the people of the next conference to consider. Music may include drumming; it is very interactive, does not require skill and can be quite fun etc. Also, DOCUMENTATION of the day through video, for future use and reference. Also, making a video that highlights why they are actually there and what made them passionate about the environment, reenergizing their passion about the environment. This can be done through a video and a keynote speaker (might be Adam Spencer, Tet Talks, Need to find a keynote speaker). Videos can be put together in a montage. Gallery of projects.
Video can be made to reflect the theme and show the work of everyone. Can be put on websites, A^2E^2 etc. Foot printing the conference, i.e., find out how much pollution would the conference produce, can be involved with the budget.
What is it about Northern Sydney that we want to share with the rest of NSW?
Pittwater, Mosman, North Sydney, Willoughby (maybe Ryde?) Paying adults may involve paying them. We need a nearby restaurant to provide for a proper meal etc. Over 100 people may be required to fit comfortably in the restaurant.
There is also an awards component, which should be given out at dinner. Community Educator, Government Educator, Formal Educator Award (Maybe student award/s as well?)
Aboriginal Elders, Aboriginal Dancers. Corporate Sponsorship. It’s in the North Sydney Mayor’s Diary.
Get credited, Mark. LOVE FOOD HATE WASTE, MAKE IT A LOW WASTE DINNER TO GET THAT GRANT. MAKE IT A VEGETARIAN/ORGANIC DINNER.
Make some field trips, maybe. Chauder Bay, etc. Bring in Manly as well, to bring in connection with East Timor, Coastal Environmental Centre at Narrabeen or Field of Mars etc.
Biodiversity on Berry Island
Water on Chauder Bay
Energy
Kim Bricki For Waste
For workshops, they, maybe, can write their names on the “registration form” on what they want to attend. Keynote speaker workshops they must attend.
